What's the difference between Assign and Schedule?
Assign is your live day/week coverage view for fixing staffing gaps. Schedule is where you import, post, edit, duplicate, and organize games.
Posting & Managing Games
How do I post the same game every week without re-entering it?
When posting a game, check "Repeat weekly" and set an end date or number of occurrences — one submission creates the whole series in one shot.
Can I change every future date in a series at once?
Yes. If the game is part of a recurring series, open it and use "Manage Weekly Series" to apply a change (time, pay, crew size) to every upcoming game in the series, or cancel them all at once.
Assigning Officials
What's the difference between assigning a referee and them claiming a game?
When you assign someone directly, they get a notification and must Accept or Decline before they're locked in. When a referee claims an open game themselves, they're already confirmed — no separate approval step.
How are officials recommended for an open game?
It ranks officials by distance, availability, preferences, experience signals, and past reliability, then sends offers to the best-fit candidates for each open slot. It never assigns anyone without them accepting.
A referee wants to swap out of a game — what do I do?
Once another eligible referee claims their open spot, you'll see it under Swap approvals on that game — just Approve or Decline the handoff.
Officials
How do I add another director/co-assignor to my organization?
On the Officials page, use "Make co-assignor" on any referee already in your roster. They'll be able to manage games, officials, and payroll for your organization from their own account, without it changing their status as a referee anywhere else.
Can documents or certifications block an official from games?
No. Documents and certification levels can help with review and recommendations, but they do not block an official from accepting or being assigned to games.
Payments
How do payments actually get sent?
Completed games generate a Pending payment automatically. Batch them together, approve the batch, then choose Send payouts to initiate transfers to each worker's connected payout account. Mark paid manually is only for money already sent outside SportAssign.
A payment failed to send — what now?
It'll show under Failed transfers, usually because the worker hasn't finished payout setup yet. Once they do, re-open the batch and choose Retry failed. SportAssign skips payments already sent, so a successful transfer is not sent twice.
Communication
How do I message everyone in my organization at once?
Use "Message League" on the Officials page — a one-way broadcast by SMS, email, or both, with a preview of how many people will receive it.
